Text version

An inbound call finds or creates the caller by phone number, and Sara greets them with your business name. The call is forwarded to your team line. If the team answers, your team gets a call-connected email. If nobody answers during business hours, or the call comes in after hours, Sara takes a message: first name, last name, best phone number, reason for the call, whether it is urgent and the best time to call back, all saved to the contact. Your team gets a missed-call or after-hours email with the details, and Sara confirms the message and says a text is coming. After the call the caller gets a message-received text, a callback-coming text held until business hours, and up to two callbacks. If both callbacks fail, your team gets a task to call back manually.

Before you install.

Does it try my team before taking a message?

Yes. Every call is forwarded to your team line first during business hours. Sara takes a message only when nobody answers or the call comes in after hours.

How many times will it call someone back?

Twice at most, five minutes apart and only during business hours. If neither callback connects, your team gets a task to call back manually.

What texts does the caller get?

Four texts, depending on what happened: message received, callback coming, sorry we missed you, and we got cut off. They need an SMS number you connect.

Does it book appointments or quote prices?

No. Sara never guesses prices, hours or service areas, and she does not book appointments. Your team confirms details when they call back. Add a knowledge base if you want her to answer common questions.

Does it answer texts or web chat?

No. It answers voice calls to the business line you assign it to.
