Text version

An inbound call is greeted with your shop name and asked whether the caller is from an insurance company or a vehicle owner with hail damage. Insurers answer six questions (first and last name, insurance company, callback number, the customer on the claim and the claim number), all saved to the contact. They choose between an estimate and a vehicle in the shop. Estimate line items are noted without any approval or amount, process questions are answered within limits, and every insurer path ends with a transfer to your team. Vehicle owners answer four questions (name, phone, vehicle year, make and model). If they have already been evaluated they can ask questions and are then transferred. If not, they are offered the free evaluation: the booking step books it and confirms the time, a failed booking creates a scheduling task, and a caller who says not now is invited to stop in. If the team line does not answer or the shop is closed, a return-call task is created before the call ends.

A short, plain-language setup.

Before you install.

Does it book appointments?

Yes. Vehicle owners who have not been evaluated are offered the Free Hail Evaluation, booked in the call through Votel's booking step, with text and email confirmations and reminders once you connect a sender and SMS number and publish the bookable.

Does it give prices or approve estimates?

No. It never quotes a price, approves a line item or says what insurance will cover. Estimate line items are noted for your team, and prices are confirmed after the evaluation.

What happens when an adjuster calls?

The receptionist saves the adjuster's name, company, callback number, the customer on the claim and the claim number to the contact, then transfers to your team line. After the call your team gets an email with those details, the summary and the recording link.

What if nobody picks up the transfer?

If the team line does not answer or the shop is closed, the caller hears an apology and a return-call task is created for your team before the call ends.

Does it answer texts or web chat?

No. It answers voice calls to the shop line you assign it to.

What does 'tested' mean here?

Every scenario on this page was run in Votel's own simulator on this exact build, and every result shown passed. Anything that depends on your own accounts, such as calls on your number, texts, emails and bookings, is covered by the go-live checks in the setup guide before you switch it on.
