Text version

The greeting names your practice, tells anyone with an emergency to hang up and call 911, and asks how it can help. An emergency, or a yes to the chest pain, breathing or racing heart check, takes one path: an emergency tag, the Emergency stage, a note and the instruction to call 911 now. Check-ups, follow-ups and other symptoms move the patient to Awaiting Patient, collect first and last name, date of birth, callback number, reason for the visit and usual provider, and offer the next available Office Visit. Urgent same-day needs collect the same details and offer a Same-Day Visit or a staff call back. A booking moves the patient to In Progress and confirms; a failed booking creates a scheduling task; a decline is tagged, marked Completed and pointed to the patient portal. Refill requests collect the medication and pharmacy, move to Provider Review with a task, and offer a visit. A request for staff transfers to the front desk, or takes a callback message with a task when nobody answers. After every answered call, a minimum-necessary summary of why the patient called, what was done and what staff should do next is emailed to your staff, with no clinical detail.

    What happens when a caller has an emergency?

    There is one emergency path. The greeting tells anyone with an emergency to hang up and call 911, and an emergency, or a yes to the chest pain, breathing or racing heart check, gets the Emergency tag, stage and a note, then the instruction to call 911 now. Nothing else is asked and no visit is offered.

    Can it transfer callers to staff?

    Yes. A caller who asks for staff is transferred to the front-desk phone you set, within your office hours. When nobody answers, the receptionist takes a callback message and creates a task for your team.

    Does it book appointments?

    Yes, in the call. Same-Day Visit covers urgent needs and Office Visit covers routine care, both with confirmations and reminders. They ship as drafts, so you assign providers, set hours and publish them first. A failed booking creates a scheduling task instead of a false confirmation.

    Does it approve prescription refills?

    No. It collects the medication and pharmacy, moves the request to Provider Review with a task for your team, and offers a visit. It never promises the refill will be approved.

    What does staff receive after a call?

    After every answered call, a short summary of why the patient called, what was done and what staff should do next is emailed to your account's support address. It carries no clinical detail, and nothing is emailed to the patient.

    What does 'tested' mean here?

    Every scenario on this page was run in Votel's own simulator on this exact build, and every result shown passed. Anything that depends on your own accounts, such as calls on your number, texts, emails and bookings, is covered by the go-live checks in the setup guide before you switch it on.
