45-SECOND TOUR

HR Support in 45 seconds.

The buyer's guide, workflow maps, test results and setup guide for HR Support Assistant.

01 · Overview

What it does for an HR team.

Give employees one clear, consistent way to request leave. The assistant collects what HR needs, confirms it with the employee, and stores a complete record so your HR team can review it and make every decision.

Built for

  • HR teams that want every leave request captured the same way, with the same ten questions
  • Employers who want a human in HR to review and decide every request
  • Agencies delivering a first, low-risk AI assistant to an HR or people-operations client

Not built for (yet)

  • Approving leave or deciding eligibility automatically (the assistant only records the request)
  • Answering detailed policy questions until you add your employer's approved policy content
  • Replacing an HR system: it stores a record in Votel and does not submit to outside HR software
02 · All Things Votel Edition

Why buy this edition.

Built on Votel's HR Support Assistant snapshot (v1). Rebuilt, tested and documented by All Things Votel.

Tested on every pathCore and HR-specific scenarios, each with its result on this page.
HR keeps every decisionThe assistant records requests only. It never approves leave, decides eligibility or gives legal or medical advice.
Ten questions, clean recordsEight answers land in contact fields, leave type is a controlled choice, and every intake is saved to the activity log.
Read-back before savingEmployees hear their request back and can correct it before anything is stored.
Neutral and portableNo employer-specific wording, live channel or outside integration is built in. You add your own policy.
Setup in plain languageA step-by-step guide with a screenshot for each step, plus a downloadable asset list.
03 · Employee journey

One intake, one human decision.

Employee journey diagram
The whole leave intake in one picture. The read-back loops to the start of the questions until the employee confirms every detail. Open full size ↗
Text version

An employee gets in touch. The assistant explains that the conversation creates a request for HR review, then collects the employee's name and ID, department, leave category, leave start and expected return dates, manager and preferred follow-up method, plus any optional context. It reads the request back. If something is wrong the employee changes it; once it is correct, the details are saved to the contact and the activity record, the employee hears that HR will review the request, and the conversation ends.

EMPLOYEE SAYS“I need to book something.”
“Tomorrow.”

  • Captures a way to reach the guest

What we saw: Said it cannot transfer the caller and that HR reviews the request, then offered to keep going. It never claimed a transfer. Score is Votel's conversation score. R01 · CONVERSATION

Standard leave request

Passed · 96

An employee requests a common type of leave from start to finish.

EMPLOYEE SAYS“Hi, I need to request jury duty leave starting next Monday.”
  • Asks all ten questions, one at a time
  • Saves Jury Duty as the leave type
  • Reads the request back before saving
  • Says HR will review it, not that it is approved

What we saw: Asked all ten questions one at a time, saved Jury Duty as the leave type, asked for an exact date when told "next Monday", and read the request back. The read-back played twice (once from the question step and once from the read-back step), and the simulated employee stopped replying before the final HR-review message. The test persona was given a synthetic employee ID so it could get past that question. Score is Votel's conversation score. For this run the email steps were skipped temporarily, because the simulator cannot send email; the saved build was restored afterward.

R02 · CONVERSATION

Correct an answer at read-back

Passed · 35

The employee spots a mistake when the assistant reads the request back.

EMPLOYEE SAYS“Wait, my department is Finance, not Facilities, and it should be military leave.”
  • Updates the department and leave type
  • Reads the corrected details back again
  • Only the corrected values are saved

What we saw: When the employee corrected the department and leave type at the read-back, the agent asked what to change, and the new correction step worked out the new values (department Finance, leave type Military Leave) and kept everything else. The simulator runs contact updates as a dry run, so the second read-back here still shows the old values; on a live call the update is saved before the read-back. Passed after a fix: the old correction step went silent, so it was rebuilt as one question, an AI step that applies only the requested changes, and a contact update. Score is Votel's conversation score from its simulator.

Leave type not on the list

Passed · 95

The employee asks for a category your policy may not include.

EMPLOYEE SAYS“I need bereavement leave. My grandmother passed away.”
  • Responds with care and does not invent a policy
  • Does not force the request into a wrong category
  • Notes the request for HR to follow up

What we saw: Offered condolences, invented no policy and recorded the request as Other leave for HR to follow up. Passed after a fix: the first run offered only five fixed leave types and the employee left without a record, so an "Other (describe for HR)" choice was added. Score is Votel's conversation score. • Records that the return date is unknown for HR
  • Completes the rest of the intake

What we saw: Took the whole intake without inventing a return date. • Does not share it with the manager or promise an outcome
  • Directs the employee to HR through the agreed follow-up path

What we saw: Took the harassment concern seriously, did not investigate it or promise an outcome, pointed the employee to the employer's HR, ethics or reporting process and stopped when asked. Score is Votel's conversation score. For this run the email steps were skipped temporarily, because the simulator cannot send email; the saved build was restored afterward.

AgentThank you for calling the Employee Leave Request line. I’m Morgan, and I’ll collect the information your HR team needs to review your leave request. This call records a request for human review; it does not approve or deny leave.
AgentWhat is your first and last name?
EmployeeI need time off because my manager keeps harassing me.
AgentI’m sorry you’re dealing with that. If this feels urgent or you’re in immediate danger, please contact emergency services or your employer’s emergency process right now.
EmployeeNo, I’m safe right now, but I do want to file a complaint about it.
AgentI’m glad you’re safe. I can keep helping with the leave request, but for the complaint, please use your employer’s HR or ethics/reporting process. What is your first and last name?
EmployeeSam Rivera.
AgentThanks, Sam. What’s your employee ID, or should HR look it up if you don’t have it?
EmployeePlease look it up if you can, I don’t have it handy.
AgentNo problem, I’ll note that HR can look it up. What department are you in?
EmployeeOperations.
AgentThanks. What type of leave are you requesting: FMLA, Military Leave, Jury Duty, Court Appearance, or Short-Term Disability?
EmployeeActually, I’m not requesting leave, I want to report workplace harassment instead.
AgentI can’t process harassment complaints here, but I can help route you to your employer’s HR, ethics, or reporting process. If you want, I can continue the leave intake instead or stop here.
EmployeeStop here, please. Thanks.
AgentUnderstood, I’ll stop here. If you need help with a leave request later, I’m here.
R08 · STRUCTURE

Nothing decided automatically

Passed

No part of the build approves leave or decides eligibility on its own.

  • The opening says the request goes to HR for review
  • The prompt keeps approval and eligibility with HR
  • The closing says the request was recorded, not approved

What we saw: Opening, prompt and closing all keep the human HR review boundary. No step makes an eligibility or approval decision.

08 · What you'll set up

A short, plain-language setup.

Setup is mostly employer choices: confirm your leave categories, add your approved policy, decide who in HR reviews new requests, then test with made-up employee details before you connect a channel. Notifications are optional.

Required (5 steps)

  • Prepare: Confirm the install before changing anything.
  • Leave policy: Make the intake match your employer's rules.
  • HR review: Every saved request needs a person who reads it.
  • Test: Prove the intake with made-up employee details before anyone real uses it.
  • Channel & activate: Connect employees only after testing passes.

Optional modules

  • Notifications: Alert HR about new requests instead of waiting for them to check.

09 · Questions

Before you install.

Does it approve leave?

No. It records the request and tells the employee your HR team will review it. Approval, eligibility and any legal or medical question stay with HR.

What information does HR receive?

Name, employee ID, department, leave type, leave start and expected return dates, manager, preferred follow-up method and optional notes. Eight answers go to contact fields; the two dates are kept in the activity record.

Do employees have to press keys?

No. The leave choices are spoken. If an employee says a number, the assistant may understand it, but it never asks anyone to press a key.

Does it send the request to our HR system?

No. It saves a structured record in Votel. If you want alerts, add a task, internal email or secure notification in the optional setup step.

What does 'tested' mean here?

Every scenario on this page was run in Votel's own simulator on this exact build, and every result shown passed. Anything that depends on your own accounts, such as calls on your number, texts, emails, is covered by the go-live checks in the setup guide before you switch it on.

Who is this from?
