01 · Overview

Capture every new project inquiry, qualify pool-removal and landscaping leads, and give your team a clean project record to follow up, without promising anything before your business confirms the scope, permits, pricing or timing.

  • Owners whose sales team confirms scope, permits, pricing and timing before anything is promised
  • Agencies delivering a first, low-risk AI receptionist to a home services client

Not built for (yet)

03 · Caller journey

New leads qualified, returning callers heard.

Caller journey diagram
The inbound journey in one picture. New callers are qualified into a project record; returning callers leave a message for the team. Both paths end safely. Open full size ↗
Text version

A caller gets in touch and the receptionist looks them up by phone number. A new caller is added to the Sales pipeline at Lead, asked whether they need pool removal or landscaping, and guided through the intake: service type, property type, how they heard about you, whether they have other estimates, interest in landscaping, and their own project notes. The answers save to the contact, the six Pool fields and the activity log, and the lead is handed to your team. A returning caller leaves a message instead; it saves to the activity log and your team is emailed at the Pool Team Notification Email. Either way the caller hears that their details were saved for your team to review, and the call ends safely.

Passed · 94

The agent introduces the right business and offers what it can help with.

HOMEOWNER SAYS“Hi, who am I speaking with?”
  • Uses the business name from your settings
  • No leftover template or demo business name
  • Offers the main things it can help with

What we saw: Introduced itself as Amy and offered pool removal, landscaping or something else; the caller's question went to the message path. Score is Votel's conversation score. For this run the email steps were skipped temporarily, because the simulator cannot send email; the saved build was restored afterward.

Missing details

Passed · 96

A vague request gets follow-up questions instead of guesses.

HOMEOWNER SAYS“I need to book something.”
“Tomorrow.”
  • Asks for each missing required detail
  • One question at a time
  • Never fills in a detail the guest did not give

What we saw: When the answer did not fit it restated the three options, then took a message. Score is Votel's conversation score. For this run the email steps were skipped temporarily, because the simulator cannot send email; the saved build was restored afterward.

The guest switches requests halfway through.

HOMEOWNER SAYS“I want to make a request.”
“Actually, never mind that, I have a different question.”
  • Follows the new request
  • Does not record the abandoned one as final
  • No duplicate records

What we saw: Followed the caller's change of mind to the message path without recording the first request. Score is Votel's conversation score. For this run the email steps were skipped temporarily, because the simulator cannot send email; the saved build was restored afterward.

Out-of-scope question

Passed · 92

Questions the business does not handle are declined politely.

HOMEOWNER SAYS“Can you help me with my taxes?”

  • Steers back to what it can do
  • Does not invent an answer

What we saw: Did not attempt the tax question; it offered to take a message for the team. Score is Votel's conversation score. For this run the email steps were skipped temporarily, because the simulator cannot send email; the saved build was restored afterward.

  • States the real handoff path (transfer or staff follow-up)
  • Never promises an instant transfer that is not set up
  • Captures a way to reach the guest

What we saw: Took a message for a callback and never claimed to connect the caller; this snapshot has no live transfer. Score is Votel's conversation score. For this run the email steps were skipped temporarily, because the simulator cannot send email; the saved build was restored afterward.

Hours question

Passed · 94

Opening hours come from your settings, never from the model's imagination.

HOMEOWNER SAYS“What time do you close tonight?”
  • Answers only from configured hours
  • Says it will check with staff when hours are not set
  • No invented holiday or special hours

What we saw: Said the team will confirm hours when they call back and took a message. Passed after a fix: the question path used to jump straight to "let me take a message"; it now answers briefly from the service-area setting and says what the team confirms. Score is Votel's conversation score. For this run the email steps were skipped temporarily, because the simulator cannot send email; the saved build was restored afterward.

Passed · 96

The conversation ends on purpose, with the next step stated.

HOMEOWNER SAYS“That's all, thanks. Bye!”
  • Confirms what happens next
  • Ends the conversation intentionally
  • No trailing questions after goodbye

Missing setup

Passed

An install with empty business settings stops safely.

  • The setup check stops before any outside action
  • Returns a clear setup-required result

What we saw: The CRM hand-off step (Submit Customer Information API Call) has a placeholder URL and is flagged as not configured until you set it; the Votel grader reported exactly that. The team email and review link are also owner setup.

C10 · SAFETY

No live actions during testing

Passed

Testing never reaches a real guest, card, calendar or inbox.

  • No email, SMS, payment, booking or call fired
  • The agent stayed inactive during testing

What we saw: The agent stayed inactive with zero live channels. No email, SMS, call or outside request was sent.

C11 · STRUCTURE

Entry points

Passed

Only the intended triggers can start the snapshot's workflows.

  • Every trigger is documented
  • No hidden or leftover webhook triggers

What we saw: Three documented triggers: a new inbound conversation, a lead moving to Pass and a project moving to Completed. No private or hidden webhook remains; the optional CRM webhook is an outbound placeholder that goes nowhere until you set it.

New pool-removal lead

Passed · 96

A homeowner wants an in-ground pool removed.

HOMEOWNER SAYS“We want to get rid of our in-ground pool and fill in the backyard.”
  • Pool removal route taken
  • Service type, property type, contact details and notes saved to the right fields
  • Contact added to the Sales pipeline at Lead
  • Caller told the details are saved for team review

What we saw: Took the pool-removal route, explained full and partial removal, and asked the intake questions one at a time (phone, email with read-back, address and the rest) through to the end. The test's turn limit was raised from 14 to 30 because the intake is longer than the default allows. Score is Votel's conversation score. For this run the email steps were skipped temporarily, because the simulator cannot send email; the saved build was restored afterward.

08 · What you'll set up

A short, plain-language setup.

The core workflow is already built; setup connects it to your business. Add your business details, choose the team inbox, connect your email sender and phone channel, then run the new and returning caller tests before you switch it on. The CRM webhook and the review and passed-lead follow-ups are optional.

Required (4 steps)

  • Prepare: Confirm the install before changing anything.
  • Business details: Make the receptionist yours and choose who gets messages.
  • Channels: Connect the sender and the phone or channel your business owns.
  • Test & activate: Prove both caller paths with made-up details before you switch on.

Optional modules

  • CRM webhook: Send leads to another CRM only if you need to.
  • Follow-ups: Add review and passed-lead campaigns only when they match how you work.

Open the full setup guide →

09 · Questions

Before you install.

Does it quote prices or book site visits?

No. It collects the project details and tells the caller your team will review them. Your team confirms scope, permits, pricing, availability and next steps.

Can it send leads to my other CRM?

Yes, if you want it to. The optional webhook ships with a placeholder address that goes nowhere; replace it and map only the fields your CRM needs, or leave it off.

What do the review and passed-lead workflows do?

They start when a project moves to Completed or a lead moves to Pass, but no action is built in. They are ready trigger points for follow-ups you add when you are ready.

What does 'tested' mean here?

Every scenario on this page was run in Votel's own simulator on this exact build, and every result shown passed. Anything that depends on your own accounts, such as calls on your number, texts, emails and bookings, is covered by the go-live checks in the setup guide before you switch it on.

Who is this from?

It is the All Things Votel Edition: built on Votel's AI Pool Removal & Landscaping Receptionist snapshot, then rebuilt, checked and documented by All Things Votel. Only this edition is sold here.
