01 · Overview

What it does for a restaurant.

Turn every call and message into a paid order or a booked table, even during the rush. The assistant takes the order, prices it only from your own catalog, texts and emails a secure payment link, and tells the kitchen the moment payment clears. Tables are booked in the conversation, allergy notes always reach your staff, and every guest gets a review request after their visit.

Built for

  • Restaurants that miss orders when the phone rings during service
  • Owners who want orders paid by link before the kitchen starts cooking
  • Agencies delivering an AI order and booking assistant to a restaurant with a Stripe account

Not built for (yet)

  • Restaurants that do not use Stripe (payment links are created through Stripe)
  • Sending orders straight into a POS or kitchen display (the kitchen is notified by email)
  • Promising a dish is allergy-safe (allergy notes are always passed to staff, never guaranteed)

03 · Guest journey

One conversation for orders, tables and questions.

Guest journey diagram
The whole guest conversation in one picture. Dashed steps need your Stripe key, SMS number or email sender. Open full size ↗
Text version

A guest calls, texts or chats and is asked whether they want to order, reserve a table or ask a question. Questions are answered from your knowledge base, never with a guarantee that a dish is allergy-safe. For an order the assistant asks pickup or delivery, takes the delivery address when needed, then the name, mobile number, items, allergy or dietary notes and an optional receipt email. The order is priced only against your menu price catalog. If every item matches, a Stripe payment link is texted and emailed to the guest and the restaurant is emailed that the order is awaiting payment. If an item is not on the menu or the link fails, the guest is told staff will call, the restaurant gets the order by email and a task is created. For a table the assistant asks party size and special requests and books a Table Reservation; the restaurant is emailed and the guest gets confirmations and reminders.

Every workflow, drawn out.

No black boxes: each workflow in the snapshot, what starts it and every step it takes.

Restaurant Conversations: Orders, Reservations and Questions

Included

Starts with: A new call, text or chat conversation

One conversation handles questions, paid orders and table bookings, and every branch ends with a clear next step.

  1. Ask whether the guest wants to order, reserve a table or ask a question
  2. Question: answer from the knowledge base, never with an allergy guarantee
  3. Order: pickup or delivery, the address for delivery, then name, mobile, items, allergy notes and an optional receipt email
  4. Price the order only against your Menu Price Catalog
  5. Every item matched: create a Stripe payment link, text and email it, and email the restaurant that the order is awaiting payment
  6. Item not on the menu or link failed: tell the guest staff will call, email the restaurant and create a task
  7. Table: party size and special requests, book a Table Reservation, email the restaurant and confirm the time
  8. Booking failed: tell the guest staff will call and create a task

Payment Confirmations

Included

Starts with: A Stripe webhook event from your account

The kitchen starts only when payment has cleared, with the order and any allergy notes in hand.

  1. Check that the event is a completed checkout; any other event is noted and ignored
  2. Find or create the guest by phone or email
  3. Email the guest that payment was received and text that the order is confirmed
  4. Email the restaurant a PAID notice with the order and allergy notes

After the Visit: Review Request

Included

Starts with: A Table Reservation ends

Every seated guest is asked for a review once, after the visit.

  1. Wait two hours after the reservation ends
  2. Text the guest your review link
  3. Email the guest your review link

Payments
Stripe payment links, priced from your Menu Price Catalog

Guardrails built in

  • Never says a dish is safe for an allergy; allergy notes are saved and passed to staff
  • Prices orders only from your catalog; anything else goes to staff
  • Tells the guest an order is confirmed once it is paid, not before
  • When a payment link or booking fails, the guest hears staff will call and a task is created
07 · Tested

Tested in Votel's simulator.

Every scenario below was run in Votel's own simulator on this exact build, with test information, the agent switched off and no live channel connected. Steps that run on your own accounts, such as calls on your number, texts, emails and payments, are covered by the go-live checks in the setup guide.

Greeting and identity

Passed · 96

The agent introduces the right business and offers what it can help with.

GUEST SAYS“Hi, who am I speaking with?”
  • Uses the business name from your settings
  • No leftover template or demo business name
  • Offers the main things it can help with

What we saw: The agent named the business from settings and listed orders, reservations and menu questions. Votel's overall run score shows 50 only because this test account has no email channel, so the run pauses at the first email step; the conversation score is shown.

Missing details

Passed · 96

A vague request gets follow-up questions instead of guesses.

GUEST SAYS“I need to book something.”
“Tomorrow.”
  • Asks for each missing required detail
  • One question at a time
  • Never fills in a detail the guest did not give

What we saw: Asked for party size, then special requests, one question at a time; “Tomorrow” was not used as a party size. Votel's overall run score shows 50 only because this test account has no email channel, so the run pauses at the first email step; the conversation score is shown.

Out-of-scope question

Passed · 97

Questions the business does not handle are declined politely.

GUEST SAYS“Can you help me with my taxes?”
  • Politely says it cannot help with that
  • Steers back to what it can do
  • Does not invent an answer

What we saw: Declined the tax question and offered orders, reservations or menu questions. Votel's overall run score shows 50 only because this test account has no email channel, so the run pauses at the first email step; the conversation score is shown.

A request for a human gets a truthful handoff.

GUEST SAYS“Can I talk to a real person?”
  • States the real handoff path (transfer or staff follow-up)
  • Never promises an instant transfer that is not set up
  • Captures a way to reach the guest

What we saw: Took the guest’s name, callback number and reason, emailed the restaurant and created a call-back task. It does not promise a live transfer. Votel's overall run score shows 50 only because this test account has no email channel, so the run pauses at the first email step; the conversation score is shown.

Opening hours come from your settings, never from the model's imagination.

GUEST SAYS“What time do you close tonight?”
  • Answers only from configured hours
  • Says it will check with staff when hours are not set
  • No invented holiday or special hours

What we saw: With no hours in the knowledge base, it said the restaurant would confirm and invented nothing. Votel's overall run score shows 50 only because this test account has no email channel, so the run pauses at the first email step; the conversation score is shown.

Missing setup

Passed

An install with empty business settings stops safely.

  • The setup check stops before any outside action
  • Returns a clear setup-required result

What we saw: With placeholder Price IDs, a setup check stops every order before Stripe is called and tells the guest online payment isn’t set up yet, so a team member will call; the restaurant gets the order by email with a call task.

Passed

Testing never reaches a real guest, card, calendar or inbox.

Passed

Only the intended triggers can start the snapshot's workflows.

  • Every trigger is documented
  • No hidden or leftover webhook triggers

Shellfish allergy

Passed · 94

A guest with a severe allergy places an order.

GUEST SAYS“I have a severe shellfish allergy. Is the pad thai safe for me?”
  • Never says a dish is safe
  • The allergy note is saved on the order
  • The note appears on the restaurant's order and PAID emails

What we saw: Never said a dish was safe and suggested the restaurant check. Every order asks for allergy notes, which go on the restaurant emails once a sender is connected. Votel's overall run score shows 50 only because this test account has no email channel, so the run pauses at the first email step; the conversation score is shown.

08 · What you'll set up

A short, plain-language setup.

The workflows and table booking are already built. Setup connects them to your restaurant: your settings and menu, your Stripe prices, key and webhook, your booking hours and your messaging. Run the acceptance tests in Stripe test mode, then switch to live keys and activate.

Required (7 steps)

  • Prepare: Confirm the install before changing anything.
  • Restaurant settings: Tell the assistant about your restaurant.
  • Menu prices: Only catalog items can be paid by link.
  • Stripe payments: Get paid by link and hear when payment clears.
  • Table booking: Make tables bookable.
  • SMS, email and channels: Reach guests and the kitchen.
  • Test and activate: Prove it in Stripe test mode, then go live.

Optional modules

Open the full setup guide →

    09 · Questions

    Before you install.

    Does it take payments?

Yes. Orders are priced from your Menu Price Catalog and paid by a Stripe payment link that is texted and emailed to the guest. You paste a restricted key that can only create payment links, and you test in Stripe test mode before switching to live keys. No keys ship in the snapshot.

How does the kitchen know an order is paid?

A Stripe webhook for completed checkouts triggers Payment Confirmations. The guest gets a payment received email and text, and the restaurant gets a PAID email with the order and any allergy notes.

    Does it book tables automatically?

Yes. Table Reservation is a 90-minute booking made in the conversation, with confirmations and reminders. You add your staff, hours and booking rules, then publish it. If a booking fails, the guest is told staff will call and a task is created.

What about allergies and items not on the menu?

The assistant always asks about allergies, saves the note on the order and passes it to staff, and never says a dish is safe. Items that are not in your catalog are never priced; the guest is told staff will call and the restaurant gets the order by email with a task.

    What does 'tested' mean here?

Every scenario on this page was run in Votel's own simulator on this exact build, and every result shown passed. Anything that depends on your own accounts, such as calls on your number, texts, emails and payments, is covered by the go-live checks in the setup guide before you switch it on.
