An answered check-in call checks the client's language. Spanish speakers are transferred to the Spanish coordinator; if the transfer fails they hear a Spanish apology and a Spanish callback task is created. English speakers are greeted and asked for the client by name. A wrong person gets a close with no details; a busy client is offered another day. The confirmed client hears a first-time or repeat introduction, answers ten treatment questions saved to contact fields, receives a thank-you email if they have an email address, and the case team gets a notice without details. The call closes, the check-in date is saved and the completed call tag is added.

08 · What you'll set up

A short, plain-language setup.

The workflows and both agents are already built. Setup connects them to your office: your office name, an email sender, the caller ID for weekly calls and your privacy policy. Then you test with a sample client before enrolling real ones. Spanish calling is ready to review.

09 · Questions

Before you install.

How often are clients called?

Once a week after you enroll them. A missed call is retried the next day, up to seven times; then your case team is alerted, the client moves to Unreachable, a task is created and weekly calls resume.

What gets asked on each call?

Ten treatment questions, including recent and next appointments, providers, expected duration and missed visits. The answers are saved to the client's contact record.

Are treatment details emailed anywhere?

No. Emails to the client and the case team only say that a check-in happened, treatment finished or the client could not be reached. Answers, recordings and summaries stay in the CRM.

What if someone else answers?

The coordinator asks for the client by name first. If the right person is not on the line, it closes the call without mentioning treatment or the case.

What does 'tested' mean here?
